●If you’re participating in a bike ride race:
(1) Tokyo Metropolitan Gymnasium
・Running clothes and shoes
・Information required for logging onto ROUVY (advance registration, ID and password)
*The organizers will supply bicycles, cycling trainers, and digital devices to people participating at the venue.
Participants will not be able to choose their bicycle. They can adjust the saddle height at the venue.
(2) Participation at a satellite venue

(3) Online participation *Take part at your home or anywhere you like! But no actual running indoor, outdoor, or on a public road!

<Handling of personal information>
(1) Participants agree that personal information obtained by the organizer in hosting this event will be administered and used by the organizer in accordance with its privacy policy.
(2) Participants accept that the organizer may use items such as their personal information, images, photographic images containing their names and/or portraiture, and/or Video(YouTube) for public relations activities for future events in broadcasts and websites related to this event, print materials, and/or other media including official social media accounts for the event.
(3) Participants accept that the personal information obtained by the organizer in association with the hosting of this event will be provided to the insurance company contracted by the organizer.
<Disclaimer>
(1) The Participant acknowledges and agrees to accept all responsibility for any theft that may be incurred of their personal belongings (including bicycles and accessories) during the hosting of this or related events, and that they will not be able to hold the Organizer liable for loss, theft, damage, or other such incidents, with the exception of incidents that may occur due to willful or gross negligence on the part of the Organizer.
(2) The Participant agrees to abide by the following rules and accepts that the Organizer may cancel their event participation if it determines a violation of the rules by the Participant.
1) Participants will not make false declarations of their name (names must be possible to check against an identification document), date of birth, gender, place of residence, records, items entered in the check sheet on health.
2) Individuals other than those who have registered for an event or as persons accompanying them cannot take part in any event on their behalf (proxy participation or transfer of rights). (Such proxy Participants will be outside the scope of insurance contracted by the Organizer.)
3) The right to participate, passcodes, or other such information are non-transferrable (including but not not limited to auctioning off such items).
4) The Participant agrees to abide by these rules and follow directions as provided by the Organizer.
(3) The Participant accepts that the event may be cancelled or changed, either partially or in full (including but not limited to the course, event times/dates, time limits, etc.), due to strong winds, heavy rain, thunder, an earthquake, tsunami, or other poor weather conditions; road conditions, an accident, incident, or disease, including COVID-19 (including environmental or social changes around the venue).
(4) The Participant accepts the following items regarding accidents, disease, or other such incidents:
1) In the event of injury or illness during the event, the Participant agrees to receive first-aid treatment provided by the Organizer or other such party and will not hold the Organizer responsible as to the method, progress, or other such factor.
2) The Participant fully acknowledges and accepts the potential risk of contacting COVID-19 by taking part in the event (not only direct infection but also coming in close contact with the disease).
3) Compensation for injuries or accidents that occur during the hosting of the event will be limited to the scope of the Organizer’s contracted insurance (does not include COVID-19).
4) The Participant will always have their health insurance certificate on their person and deal with any accident, injury, or illness that occurs during the hosting of the event.
5) Should the insured content provided by the Organizer be insufficient, the Participant should separately buy additional insurance as they see fit.
6) The insurance coverage provided by the Organizer applies only to Participants who check in at reception on the day of the event. It does not cover any accident, injury, or illness that occurs outside the event.
<Event rule>
This rule provides stipulations on items that the participant (“The Participant”) is required to observe, note, or agree to beforehand in order to take part in TOKYO VR Racing 2021 (hereinunder referred to as “The Event”).
The Participant will be deemed to have accepted this rule with the organizer (“The Organize”) by registering their participation in The Event.
Persons who do not observe this rule will not be permitted to participate in The Event.
Should a violation of the rule become known after the start of an event, participation by the individual will be cancelled.
(1) Participants are to accept the Event outline, things to note, and other information advised through notifications and enter The Event at their own risk. An entry registered by a family member, relative, guardian (if the Participant is a minor), or a representative will be accepted as a proper entry made with consent from the individual.
(2) The registered Participant must take part in the event; a proxy is not permitted.
Parents may enter themselves and their children in an event (on the condition that the parent makes the entry) as well as persons accompanying them, in which case they will be responsible for obtaining the person(s)’s agreement to this rule (and the agreement of guardians if the children are minors) for participating in The Event.
Persons accompanying Participants cannot be changed after entry procedures have been completed.
(3) The Organizer assumes no liability for any injury, illness, or accident that may occur during the hosting of The Event.
Due to the nature of a virtual run, such compensation cannot be provided, so please participate at your own risk, obtaining casualty insurance if needed.
(4) The Participant is responsible for training adequately and paying plenty of attention to their physical condition, safety, and equipment prior to The Event, receiving a medical checkup at a healthcare institution if needed. A person with a serious illness, such as a heart disease, cannot take part.
(5) The Organizer assumes no responsibility for an applicant’s delay in registering due to issues concerning their Internet device, Internet connection, or other such reasons, or a missed measurement caused by an application malfunction.
Please check in advance as issues are occasionally found to prevent registration on some terminals, operating systems, or browser software.
(6) Please note in advance that the Organizer reserves the right to determine whether to downsize or cancel The Event in the event of an earthquake, a flood or storm, snowfall, an accident or incident, the spread of an infection, or other such reason.
(7) Photo or video images, articles, individual records, or other materials from The Event may be used by the Organizer or a third party approved by the Organizer for public relations purposes or advertisements such as posters or event programs, or on television, radio, newspapers, magazines, or online media.
(8) The Organizer will handle personal information in compliance with laws and related laws and regulations to protect the privacy of individuals.
It will use the personal data it obtains for organizing and creating programs, announcing records, the official event website, and other communications needed for the administration of The Event.
(9) Details supplied by The Participant at the time of entry cannot be changed after his or her entry has been established.
(Neither can The Participant change their desired running course or other such information once their entry has been established.)
The Participant should carefully check the information they are providing when entering The Event.
【Special Terms to Prevent the Spread of COVID-19】
(1) Other than for the administration of The Event, the Organizer may share personal information with third parties such as public health centers or medical institutions that require such data for the purpose of preventing infectious diseases.
(2) Participants will be asked to refrain from taking part in The Event if any of the items below apply to them:
1) A temperature that exceeds 37.5 degrees Celsius (99.5 degrees F)
2) A strong sense of fatigue or difficulty breathing
3) Regular symptoms such as coughing, phlegm, or sore throat
4) An abnormal sense of taste and/or smell
5) An underlying medical condition such as diabetes, heart disease and uncertainty over their physical condition
6) The Participant, a family member, and/or housemate have been to a medical facility over fever or cold symptoms during the two weeks before The Event.
7) The Participant has visited a country or region where the government has imposed entry restrictions or an observation period two weeks or less before The Event. Or The Participant has been in close contact with a resident in such an area.
8) Less than two weeks before The Event, The Participant, a family member, and/or a housemate have visited a country or region where infection is spreading.
(3) Participants who do not follow the Organizers’ advice to prevent the spread of COVID-19 may be asked to cancel their participation, stop in the middle of their run or cycling, stand by at the venue, or leave to secure safety for other participants.
(4) The Participant will make no argument whatsoever against steps the Organizer may take to confirm their health status, cancel their participation, or other such measures due to their physical condition.
(5) The Participant will wear a facial mask at the venue (*except while participating in a race), wash their hands frequently, and disinfect their hands and fingers with alcohol.
(6) The Participant will maintain a distance from other participants and staff.
(7) Please do not speak or cheer at the venue in a loud voice during The Event.
(8) Please observe the steps the Organizer has determined for preventing infection and follow their directions on the event day.
(9) The Organizer will store the personal information it has obtained on this occasion on participant health and for preventing infection, such as its check sheet on people’s health, for one month after The Event.
(10) If you test positive for COVID-19 within two weeks after the event, please get in touch with the Organizer and report whether anyone has been in close contact with you.
(11) If any participant or party associated with The Event becomes infected later, a health center or other such facility may ask you for an interview.
(12) The Organizer recommends participants install the Ministry of Health, Labour and Welfare’s smartphone app, COVID-19 Contact-Confirming Application (COCOA), that will send notifications of possible contact with persons infected COVID-19. |
